JOB SUMMARY
The Beach Events Program Coordinator is responsible for the administration and event management of Ontario Volleyball’s Beach programs and leagues. Reporting to the Manager of Beach Programs, the successful candidate will work closely with OVA staff and departments to ensure smooth program delivery.
From September to April, this role focuses on planning and coordinating the Ashbridges Bay Adult Beach Volleyball Leagues, Team Ontario Beach Programming, and the Winter Beach Tour. Responsibilities include event preparation, stakeholder communication, and assisting event delivery.
From May to August, the role shifts to on-site supervision at Ashbridges Bay, overseeing league and event operations. The Beach Event Program Coordinator ensures contract staff are guided effectively to provide a positive experience for participants and spectators. During this period, the work week includes weekday evenings and weekends to meet league, and event demands over the summer months. This dynamic role is ideal for someone passionate about both behind-the-scenes planning and front-line event execution.
KEY ROLES AND RESPONSIBILITIES
The role encompasses a broad range of tasks and responsibilities including but not limited to the following:
Winter Beach Tour (October to March)
- Administer team registration, schedules, rankings and results for up to 18 events
- On-site delivery as the Tournament Host for single-day WBT events at Downsview Park Toronto
OVA Beach Tour (May to August)
- On-site supervision of OVA seasonal staff and event delivery for up to 5 weekend events between May and August
- Supporting quality event delivery at Ashbridges Bay in Toronto
League Administration (January to September)
- Manage league registration, scheduling, draws, and score collection using MyTeam.Click
- Collaborate with marketing and communications teams to promote youth and adult leagues
- Handle participant communications regarding game times, policies, and season logistics
- Oversee youth beach camps and corporate rentals, including contracts, payments, and reporting
- Collect post-season feedback and recommend improvements for future programs
On-site League Delivery
- Assist in hiring, training, and managing seasonal staff, including scheduling and payroll
- Ensure participant safety by managing equipment inventory and conducting safety checks
- Coordinate with the Manager of Beach Programs for court maintenance and facility upkeep
- Keep the Ashbridges storage shed inventoried and in an organized fashion
- Oversee facility setup and breakdown, ensuring courts are clean and properly equipped
- Administer and oversee corporate rentals at the facility, including managing contracts, payment details and participant reconciliation reports
- Provide exceptional customer service by resolving issues and addressing participant inquiries via email, phone and on-site
Athlete Development Program (ADP) - (September to March)
- Manage registration and logistics for Team Ontario camps
- Oversee court bookings at Downsview Park for beach training sessions
- Provide administrative support for the athlete identification (ID) process
- Handle registration management in MRS system
- Organize and distribute Team Ontario clothing packages to athletes
- Assist with eligibility checks for Team Ontario coaches to ensure compliance
Other
- Assist the OVA membership with all related MRS questions and registration support regarding program area
- Website management of assigned program areas
- Attend staff, committee, stakeholder meetings and Board meetings as required
- Provide support to OVAtion Awards Banquet and Special Projects as requested
- Provide support to the indoor Ontario Championships where needed
- Act as an Ambassador for the OVA
- Other duties as assigned by the OVA
REQUIREMENTS & QUALIFICATIONS
- Bachelor’s degree in Sport Management, Sport Administration, or a related field
- Experience in event management or within a sport association is preferred
- Strong organizational, time management, and attention to detail skills
- Proven ability to multi-task, prioritize, and meet tight deadlines in high-pressure environments
- Proficiency in Microsoft Excel and managing large databases
- Self-motivated with a proactive approach to problem-solving
- Excellent relationship-building and customer service skills
- Strong interpersonal, oral, and written communication abilities for engaging with members
- Ability to work collaboratively within a dynamic team
- Flexibility to work evenings, weekends, and extended hours as required
- Travel required; must possess a valid driver’s license and reliable transportation
- Successful completion of Vulnerable Sector Screening & Police Check (can be completed after hire)
