The Indoor Program Coordinator plays an administrative and event management role in delivering the Indoor Youth Competitions programs. This includes coordination and implementation of competition opportunities based on the new Long-Term Development (LTD) in sport and physical activity 3.0 and Canadian Sport for Life (CS4L) concepts and standards.

The Program Coordinator collaborates with various OVA staff to organize competitive tournaments for Ontario teams in the Early Contact Initiative (ECI) Divisions and assists in planning and executing two annual convention centre tournaments and Canada's largest provincial volleyball Championship every April.

The role involves event coordination and on-site support. As such, the position requires travel and mandatory work on weekends.

Over the summer, the Program Coordinator supports the Athlete Development staff with the coordination and delivery of Team Ontario programs as required at various locations across the province.

Indoor Competitions Delivery

Administer the ECI (4v4, 6v6 and TLS Boys and Girls) and 15U Boys divisions, including but not limited to:

  • Create events and manage registrations in the Membership Registration System (MRS)
  • Verify and post team rankings and competition results on the OVA website
  • Liaison with Competitions Hosts, trouble shoot issues and assist with host packages
  • Ensure referees are assigned via the Arbiter online platform and monitor referee invoicing
  • Manage specific competitions pages of the OVA website to ensure content is concise and up to date
  • Assist Clubs with TIMU online score reporting
  • On call duties on assigned weekends during the competition season
  • Assist with the development of the Youth Competitions Handbook and Competitions Calendar on an annual basis
  • Assist the Manager of Club Services with the creation and review of the annual Tryout Window Policy
  • Represent the OVA at designated competitions (i.e. Convention Centre, Grand Prix events, etc.)
  • Communicate with Ontario club staff, coaches, athletes and their families using various communication methods such as email, phone and webinar
  • Establish positive relationships with members of OVA clubs and participate in the promotion of youth competitions and club development practices in Ontario
  • Attend Indoor Volleyball Development Council (IVDC) and Regional Council meetings as required
  • Participate in the Competition Structure Review, shaping the future of OVA competitions
  • Develop post season and event feedback surveys
  • Facilitate team entries for National Championships and provide seeding information to Volleyball Canada
  • Assist the Manager of Club Services with the creation and review of the annual Tryout Window Policy
  • Represent the OVA at designated competitions (i.e. Convention Centre, Grand Prix events, etc.)
  • Communicate with Ontario club staff, coaches, athletes and their families using various communication methods such as email, phone and webinar

Ontario Championships

Assist the Manager of Indoor Competitions and Special events with the organization and delivery of Ontario Championships competitions including, but not limited to:

  • Attending all Indoor Championship events annually in April
  • Coordinating event registration, planning and execution
  • Scheduling and seeding of assigned age groups
  • Attending planning meetings with host cities and venue operators
  • Coordinating the collection and verification of all rosters and assist with populating the OVA Champs App
  • Managing OC's pages of the OVA website to ensure content is concise and up to date
  • Supporting event logistics– _shipping, booking shuttle buses, booking medical crews, etc
  • Booking accommodation for referees and event staff
  • Assisting in the written creation of the Competition Guide and Safety Manual
  • Assisting with post event survey creation and reporting as required

Other duties as assigned

  • Support the Athlete Development staff with the coordination and delivery of Team Ontario programs as required, including but not limited to:
    • Communicate schedules for camps with coaching staff, chaperones, integrated support team and facility contacts
    • Provide on-site support to athletes and coaches during training camps and be the onsite liaison to participants and the Facility Operation staff
    • Track and submit program expenses to the Athlete Development Director
    • Participate in meetings with Athlete Development staff
  • Act as an Ambassador of the OVA
  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS

  • A college or university degree is required, preferably in the discipline of Sport Management or Sport Administration or a similar field
  • Event management or sport association experience preferred
  • Understanding of basic principles of Long-Term Development (LTD) in Sport and Physical activity 3.0 and Canadian Sport for Life (CS4L) concepts and standards and how they apply to volleyball specifically
  • Strong organizational skills, time management and attention to detail
  • Strong multi-tasking skills and ability to prioritize
  • Comfortable using Microsoft Excel and managing a large database
  • Ability to meet tight deadlines and work well under pressure
  • Self-initiator/proactive and ability to propose solutions to problems
  • Ability to build relationships
  • Ability to work as part of a dynamic team
  • Excellent Customer Service experience
  • Excellent interpersonal, oral and written communication skills to interact with the membership
  • Ability to work flexible hours including weekend and extended hours as required
  • Travel is necessary – a valid driver’s license and mode of transportation is required
  • Valid Vulnerable Sector Screening & Police Screening Check (can be obtained upon employment)
