The Ontario Volleyball Association (OVA) requires mandatory Police Record Checks (PRCs) and Vulnerable Sector Screening (VSSs) checks of all individuals in leadership roles who work directly with athletes.   This includes all Staff, Directors, Chairs, Coaches, Managers, Officials, Chaperones and persons who manage finances.

The OVA requires each person to submit a PRC and VSS once every three years.  There are two options to obtaining your PRC and VSS check: you may use the online services of Hire Performance or visit your local Police Department to obtain the proper documentation. Please check local police department websites for paperwork and procedures that have to be completed.

PRCs and VSSs shall remain valid for three years, upon which time you must resubmit your PSC/VSS. In the off years, you must download and complete the OVA Online Offence Declaration. 

Where should you send your PRC and CSS?

Officials & Volunteers - All Officials, Coaches of ADP Centres and Volunteer Board & Committee Members must submit a copy of their original PRC and VSS check to the OVA office, c/o Laura Mauer  at  This e-mail address is being protected from spam bots, you need JavaScript enabled to view it or via fax to 416-426-7109.

Club Coaches - Please submit a copy of your original PRC and VSS to your designated Club Contact person who will then forward a list of all coaches who have completed their PRC and VSSs to the OVA office, c/o Sarah Gallsworthy.  

What are the steps for Clubs to screen their coaches?

1. Club Coaches can visit their local police department to complete their screening.
2. The designated Club Contact will receive  and review their Club Coaches PRC's & VSS's or Online Declaration on a yearly basis.
3. The Club Contact will email the OVA a list of all of their coaches that have completed the Screening Process - Club Coaches are not to send their PRC or VSS directly to the OVA.

What happens if there is a positive result on a PRC or VSS?

If there is a positive result, the OVA Club Contact is to blank out the person's name and must forward this to the OVA Executive Director. At this time, the Executive Director will forward the positive PRC/VSS to the Screening Committee for review.   The Screening Committee will make a decision based on the offence and OVA Screening policy to see if the Coach is allowed to coach in the OVA Club stream. This decision will be then returned to the Executive Director and Club Contact.


Peel Region and Toronto Coaches and Officials

If you live in Peel Region or in Toronto, the Volunteer Criminal Record Search Forms must be obtained from the OVA office before going to the Peel Region Police Department. These forms are not available to download online; original copies must be taken to the Police Department. Please contact Administrative Assitant to obtain the proper forms.

York Region Residents

Please visit www.yrp.ca and go to the On-Line form section. Download and print off the VULNERABLE SECTOR SCREENING form. Once this has been filled out, you must mail or bring the document into the OVA office to obtain the organization representatives signature. The OVA will return completed forms to the applicant. When you have received your signed form by an OVA office staff person, you must bring the completed form in person to one of the York Region Police Department locations (which is listed on the form) along with two pieced of ID, one being photo ID.   Turnaround time is approximately 2 weeks.
