1) How much does it cost to register for an OVA Beach Tour event?
There is a one-time beach membership fee to be paid prior to participation in your first OVA Beach Tour event of the 2008 season.  All fees must be paid online at  www.ontariovolleyball.org, Register Online Now.

Beach Membership Fee:
•    $15.00 - for currently registered members (athletes who participated in the OVA Indoor 2007-2008 season)
•    $30.00 – for new members ($15.00 OVA beach membership fee + $15.00 VC membership fee)

OVA Tournament Fee:
•    $75.00 (tax included) per team/event in the Youth and Adult/Open divisions. 

NOTE:  Satellite fees, Provincial and National championships fees may be adjusted. 
 
2) When and how do I register? What is the registration deadline?

The registration deadline is the Wednesday (by 11:59 PM) prior to the weekend’s event. Registrations are completed via the OVA Online Registration System. Late registrations are NOT accepted.  CLICK HERE for help registering online.   
 
3) What if I have to cancel or withdraw from an event?
Beach Handbook Section 3.8

Cancellation
Teams may withdraw from an event prior to the registration deadline (Wednesday prior to the event by 11:59 PM) without penalty.  Notification of withdrawal or cancellation must be forwarded to the OVA office in writing to Kristiina Nielander, OVA Beach Program Manager at This e-mail address is being protected from spam bots, you need JavaScript enabled to view it    Information that must be included in the email include:

1.    Full names of both teammates
2.    Division
3.    Date of tournament to be withdrawn/cancelled
4.    Transaction number of registration confirmation email
5.    Full name on credit card
6.    (Doctors note – only needed if passed registration deadline)

Teams that withdraw from an event after the registration deadline will NOT receive a refund (Exception: Injuries/illness – must provide doctors note for proof of injury, within one week of withdrawal request)

Refunds
All refunds are reimbursed to the payee’s credit card.  Fees are not transferable between tournaments.  To receive a refund, all above-mentioned information must be emailed to the OVA Beach Program Manager. 

   
4) What time do I need to arrive at the beach on a tournament day?
Check-in
Team check-in takes place between 8:00 a.m. and 8:30 a.m.  Both partners must check-in together.  If you AND your partner have not checked in by 8:30 a.m. SHARP, you will not be able to participate in the event and you will NOT receive a refund. 

Should one partner be on time and the other not, both will be disqualified from participating in the event and you will NOT receive a refund. 

Please give yourself ample time to arrive early.  It is the players’ responsibility to check directions and road closures prior to the event, as there is NO excuse for lateness. 

(Exception:  Elite teams must arrive for their first match or for their officiating duties.  Elite teams do not need to check-in).

Players Meeting
The Players Meeting begins at 8:30 a.m. when Check-in has closed.  It is at this meeting where the tournament director will debrief the participants regarding the days schedule with new and relevant information. 

It is the responsibility of all athletes to listen to what is said and to question anything that is not understood.  Sanctions can be levied to teams who do not follow the format and the basic rules of the tournament.  It is the athlete’s responsibility to make sure they understand. 

 
5) How do I qualify for the Ontario Beach Championships / Provincials?

To be eligible for the 2008 Ontario Beach Championships/Provincials, each partner must participate in a minimum of 3 events (at least one must be an OVA event; the remaining 2 may be OVA sanctioned Satellite events).

NOTE: if the participants choose to participate in both Youth and Adult divisions, then they must compete in at least 3 youth events and 3 adult events.  The Ontario Championships do NOT count as one of the three events.  Exceptions:

1.    Indoor/Beach Provincial Team – must compete in a minimum of one OVA event.
2.    FIVB athletes – must contact the OVA office in writing by July 31st, 2008 to indicate which events they are using for provincials and nationals eligibility.
3.    12U/13U athletes – must compete in a minimum of one OVA event.
4.    Region 1 athletes – there are NO provincial eligibility requirements.
5.    Exceptional circumstances – Must present case to OVA Beach Committee by Monday, July 28th, 2008.

(NOTE: a medical note does not count as participation in an event.  A medical note can be used to get a refund of the entry fee or a partner substitution).

If the Beach Committee grants an exception into Provincials without the minimum criteria, the team must pay the penalty fee of up to $150.00 to the OVA before the Ontario Provincial Championships. 
 
6) What if I have not played in any events last year? How will I be seeded?
Teams who have zero points will be entered in the bottom division and will have the opportunity to earn tour points and move up through the Tour.  
 
7) What will happen to my points if I play with a new partner?

If you are playing with a new partner that has OVA Beach Tour Points from last season, your points will be averaged between the both of you. If your partner does not have points, than your points will be divided between the both of you. Example: If Billy has an average of 850 points and his partner Joey has 0 points, than they would have 425 team points and be seeded accordingly.  
 
8) What if I registered in the wrong division - i.e., 18U instead of 16U?
No changes to the registrations or tournament draws can be made after the registration deadline (Wednesday prior to the event by 11:59 PM). Any problems or requests for changes must be made in writing to the OVA office prior to the registration deadline. Once you have received an email receipt for the event, you are registered. Please verify the tournament registration on your receipt and contact the OVA office if there are any problems.  
 
9) How do I know if I should register for the Elite Qualifier?

All teams with more than 820 Adult Points are eligible to play in the Elite (AAA) division (plus teams from the qualifiers may make the main draw).  Teams who wish to take part in the Elite divisions, should register in the Elite Qualifier.  If the teams who registered in the Elite Qualifier have enough points for the Elite main draw, they will not be required to play in the qualifier and be seeded accordingly.  All registrants in the Elite/AA-A5 divisions will be seeded according to points in divisions AA-A5 (FYI – this may seed you in an unexpected division, if you would like to play Elite, register in the Elite Qualifier).  The OVA website will indicate if there is a qualifier or not prior to the tournament. 

10) How do I know what tier I'm playing in?
Tournament seedings are posted on the OVA website each Thursday (or Friday) prior to the event and after the Wednesday registration deadline. Please check the OVA website to ensure you are in one of the divisions and you know where you are seeded.  Seedings are subject to change without notice prior to the events.  If you notice an error, please contact the OVA office in writing This e-mail address is being protected from spam bots, you need JavaScript enabled to view it before Friday at noon prior to the event.  NOTE: If it’s after Friday at 12:00, the OVA will not post changes that have been made (thus, seedings may still be altered depending on attendance at the tournament.)   
 
11) If I compete in the Youth Competition, will my points be carried over to the Adult/Open Division?

No. There are two separate point systems for Adult and Youth Competitions. They will be regarded as two totally separate numbers. Therefore a team who plays in the Youth Division can have an average point rating of 895 while having an Adult rating of 775.
 
12) Will there be cash prizing?
The OVA beach tour is a non-professional tour and will be awarding merchandise prizing for all events to the top 2 finishers in both Youth and Adult competitions, with the exception of the Elite events where there will be prize money awarded. Points AND prizing will not be awarded to teams who decide not to play the finals.
 
13) What court dimensions will be used on the OVA Provincial Beach Tour?
The 12U/13U Youth Division will be using the 7m x 7m court dimensions.  All other divisions on the OVA Provincial Beach Tour will be using the 8m x 8m court dimensions.
 
14) What tournament format will be used on the OVA Beach Tour?
The Elite division will experience a mix of double elimination and pool play tournaments varying in size from 8 to 16 teams.
 
The youth division will be in the pool play, followed by a single-elimination playoff format. 

15) What happens in the event of a weather cancellation/rain-out?
Teams are required to remain “on-call” and “on-site” until 2pm.  It is up until this time that a decision can be made as to whether the event can be played out.  If the event gets cancelled before playoffs, all teams will receive a refund less $10 administrative fee.  (The OVA crew will do all possible to prevent this from happening). 

If the event gets cancelled mid-way through playoffs, all teams who have been eliminated will not receive a refund.  All remaining teams will be reimbursed their entry fee less $10 administrative fee and will split the remaining points. 

A decision will be made by the Beach Committee pertaining to Provincials Eligibility in the case of a cancelled event and minimum requirements. 

Suspended Play Policy
Safety concerns and play suspension are at the discretion of the collective Beach Tournament Committee but ultimately are the judgment of the Tournament Director.

Play shall be suspended if the Tournament Director and Committee foresee:
•    Inclement weather – lightning (Note: If it is raining, play generally will not stop unless there is lightning)
•    Extraordinary circumstance
•    Safety concern
•    Other discretionary reason to clear the beach (i.e. darkness).

Upon notification of suspended play:
•    All athletes must immediately evacuate the beach and go to cars or indoor facilities and NOT UNDER TREES.
•    Athletes PLAYING are responsible for recording the score and taking note of the court they are playing at.
•    Officiating teams are responsible for taking the clipboard and ball with them.

Notification to resume play:
•    Play will resume 15 minutes following the horn sounding.
•    Athletes are responsible for being within a given distance to hear the horn.
•    Following a 10-minute warm-up, officials and athletes will continue to finish the game from where the score left off.
•    Modified play may ensue at the discretion of the Tournament Director and Committee.

Cancellation Procedures
Delay caused prior to 12:00 p.m.: Can last up to a three-hour delay.  After a three-hour delay or 2:00 P.M., the tournament will be cancelled.
Delay caused between 12:00 – 1:00 p.m.: Can last up to two hours.  After a two-hour delay, or 2:00 P.M. the tournament will be cancelled.
Delay caused after 1:00 p.m.: Can last up to one hour.  After a one-hour delay, or 2:00 p.m., the tournament will be cancelled.
•    Points and Prize Money – If playoffs have begun, teams will assume the lowest points and/or prize money awarded to the round of play in which they are competing at the time of delay.
Refund – A full refund, less a $10 administrative charge, will be granted if athletes did not finish pool play.  Once playoffs begin OR after 1:00 no refund will be granted. 
 
16) What do my partner and I do when we are not playing?
All teams will be required to score and officiate matches in their pool.  A schedule is created detailing when you play and when you are expected to officiate (handed out for pool-play).  During playoffs, teams are randomly assigned scoring/officiating duties in the first round of playoff matches and must score one match after they have been eliminated.  Failure to complete officiating duties will result in $50.00 sanctions from Ontario Volleyball and must be paid before competing in the next OVA event.

Player referees are important to the operation of the OVA Beach Tour events.  As a player referee, it is your duty and responsibility to officiate matches.  You represent officials when acting as a player referee and you have the same role and responsibility as certified officials. 
 
17) Will there be OVA officials on site?

There will be OVA officials on site who will answer any questions and address any concern the players may have about rules, regulations, etc.  They will supervise the beach throughout pool play and will attempt to officiate all gold medal matches.  Officials may also monitor warm-up times and are instructed to start matches after 10 minutes of warm-up.  Failure to limit warm-ups to 10 minutes will result in $50.00 sanctions from Ontario Volleyball to players and teams and must be paid before competing in the next OVA event.
18) Is coaching allowed on the OVA Beach Tour?
Coaching is permitted for ONLY the youth division.  Coaches must identify themselves to all parties participating in the match including the opposing team, the player referees and the OVA referee supervisor in the area.  The coach’s name must be included on the match score sheet.  The coach must abide by the following set of rules:

1.    Coaches CANNOT call time-outs for their athletes
2.    Coaches are allowed to speak to their athletes only during time outs. 

Coaching is NOT allowed in the Adult Division. 

19)  Will I get points for participating in a Satellite event?

No.  No points are awarded for Satellite events.  All athletes in these designated satellite events may use these events to count as participation events towards the OVA Provincial Beach Championships (up to a maximum of 2 Satellite event participations per individual).  This means you must participate in at least one OVA Beach Tour event in order to participate in Provincials.  OVA Beach Tour points will not be awarded at Satellite events.

NOTE: Provincial ranking: Average of best 3 results from the current OVA Beach Tour.
